In certain scenarios, you might need to create work rules that assign a fixed number of hours to a pay item, regardless of the actual clocked hours. This type of work rule is useful for handling pay items that are not based on clocking data, such as different types of leave (e.g., Annual Leave, Sick Leave). This guide will walk you through the process of setting up a work rule with fixed hours for these types of pay items.
Example Scenarios:
- Example 1: Let’s say you need to set up a work rule for Sick Leave. You want every instance of Sick Leave to be paid out as 8 hours, regardless of the employee’s clocking data. You would create a work rule named “Sick Leave Fixed Hours,” set it to assign 8 hours.
- Example 2: Imagine you have salaried employees who do not need to clock in and out because their work hours are consistent and predetermined. However, your payroll system requires timesheets for these employees to accurately record and export their hours for payroll processing.
To configure this type of work rule:
- Go to Settings
- Click on Work rules (Under Payroll)
- Click on "Add New Work Rule" to start creating a new rule.
- You will need to enter details such as the rule name and description on the first step
- Click Next until you reach the Pay item Rules step
- Click Add
- Change from Assign up to to Assign
This changes the logic on the work rule to ASSIGN the set amount of hours as per the field to the right. - Change the amount of hours to what you are trying to assign to the day.
For example:
Employee day rate is 8 hours = Set value to 8
Employee day rate is 7.6 hours = Set value to 7.6
Salary Employee rate is 7.6 hours = Set Value to 7.6 - Click Done
- Click Next until you can Click Save
