Optima
Allocates integration with BundyPlus Live allows you to directly import/export employee timesheet data to streamline your payroll process.
This article will detail how to configure the API interface.
First, you will need the following:
- Optima Client Code
- Optima Environment Code
- Optima Login Details (Username + Password)
- This login must be assigned at the client level to access the clients employee list.
- Source Supplier code created in Optima as 'Bundyplus'
In Reference Data > Attendance > Attendance Source Supplier > Create Attendance Source Supplier - Time Clocks created in Optima
In Reference Data > Attendance > Attendance Devices > Create Attendance device
The Device ID's must match the serial number of the time clock.
Configuring the Integration
- Go to Settings > Integrations > Allocate
- Tick the Enabled checkbox
- Enter your Allocate Credentials
- (Optional) Select Enable filtered Employee importing and Enter text in the filter field
This will only import employees with the custom text set in this field- This field is can be located in Allocate > Personnel > Person Search > Select Employee > Attendance Ids
- Enter the text anywhere in the Attendance Identifier field
For example:
Filter text is set to 'Bundy'
Employee Attendance ID is 200
New Employee Attendance ID is 200Bundy
- Click Save
Create your Payrun
- Go to Settings > Payruns > Add Payrun
- Enter Details and go Next
- Leave the date details as this does not affect the transactions being sent
- Change export type to Allocate
- Check Do you want to schedule automatic exporting? and select an Export Frequency
- Check Do you want to schedule automatic importing? and select an Import Frequency
- Click Next
- Click Next (You will import your employees into this Payrun once the API is connected)
- Click Save
Import Employees
- Go to Settings > Payruns
- Click on the Import Employees Now button under the Auto Import Column
- This will now start the employee import process into BundyPlus Live.
- Once the import process is complete, you can go to the Employees section and see your list of employees
You have now successfully configured your Optima (Allocate) integration.
Trouble shooting
- Is interface enabled?
- Are credentials correct?
- Does "Save and Test" button work? No, recommend checking credentials.
