Optima

Allocates integration with BundyPlus Live allows you to directly import/export employee timesheet data to streamline your payroll process.

This article will detail how to configure the API interface.

First, you will need the following:

• Optima Client Code
• Optima Environment Code
• Optima Login Details (Username + Password)
  • This login must be assigned at the client level to access the clients employee list.
• Source Supplier code created in Optima as 'Bundyplus'
  In Reference Data > Attendance > Attendance Source Supplier > Create Attendance Source Supplier
• Time Clocks created in Optima
  In Reference Data > Attendance > Attendance Devices > Create Attendance device
  The Device ID's must match the serial number of the time clock.

Configuring the Integration

1. Go to Settings
2. Click on Integrations
3. Search for Allocate
4. Click Connect
   
   
5. Enable the Checkbox next to Enabled
6. Enter your Allocate Credentials
   
7. (Optional) Select Enable filtered Employee importing and Enter text in the filter field
   This will only import employees with the custom text set in this field
   1. This field can be located in Allocate > Personnel > Person Search > Select Employee > Attendance Ids
   2. Enter the text anywhere in the Attendance Identifier field
      For example:
      Filter text is set to 'Bundy'
      Employee Attendance ID is 200
      New Employee Attendance ID is 200Bundy
8. Click Save

Create your Payrun

1. Go to Settings
2. Click on Payruns
3. Click on Add Payrun
4. Enter Name and Description
   
   
5. Click Next
6. Leave the date details as this does not affect clocking event exports
   
7. Change export type to Allocate
8. Enable Do you want to schedule automatic importing? 
9. Select your Import Frequency:
   
   • Hourly: Import employees every hour on the hour. eg, 4pm, 5pm, 6pm etc
     
   • Daily: Import daily at a specified time
   • Weekly: Import weekly at a specified day and time
   • Manual: Import only when clicking the Import Now button in the Settings > Payruns screen
     Note: This Import Now button will always appear for any mode to allow for ad-hoc import requirements
     
     
10. Enable Do you want to schedule automatic exporting? 
11. Select your Export frequency
    • Real-time: Export clocking events as they are uploaded into the cloud system
    • Hourly: Import employees every hour on the hour. eg, 4pm, 5pm, 6pm etc
      
    • Daily: Import daily at a specified time.
    • Weekly: Import weekly at a specified day and time.
    • Manual: Import only when clicking the Import Now button in the Settings > Payruns screen
      Note: This Import Now button will always appear for any mode to allow for ad-hoc import requirements
      
12. Click Next
13. Click Next (You will import your employees into this Payrun once this payrun is saved)
14. Click Save

Import Employees

1. Go to Settings
2. Click on Payruns
3. Click on the Import Now button under the Auto Import Column
   • This will now start the employee import process into BundyPlus Live
4. Once the import process is complete, you can go to the Employees section and see your list of employees

You have now successfully configured your Optima (Allocate) integration.
